Common questions about using Billvy.

Invoices

How do I create an invoice?

Go to Invoices in the sidebar and click + New invoice. Enter the client name, amount, due date, and an optional description. Click Create invoice — it appears in your list immediately.

How do I mark an invoice as paid?

Click on any invoice in the list to open the detail page. Click the Mark as paid button in the top right. The status updates immediately and the invoice moves to your Paid filter.

How do I send a quote or estimate?

Go to Invoices and switch to the Quotes tab, then click + New quote. Enter the client, amount, and how long it stays valid. Once the client accepts, click To invoice on that row and Billvy creates the invoice for you — same client, same amount, nothing retyped. A converted quote is locked afterwards so the same work can't be billed twice.

Can I set up a recurring invoice?

Yes. Go to Invoices, switch to the Recurring tab and click + New schedule. Pick the client, amount, how often it repeats, and your payment terms. Billvy raises each invoice automatically on its date. Use Invoice now to raise the next one early without shifting the schedule, or Pause to stop it temporarily. If Billvy is offline over a scheduled date it picks up on the next one rather than sending a burst of catch-up invoices.

How do I download an invoice as PDF?

Open the invoice detail page and click Download PDF. Your browser's print dialog will open — choose "Save as PDF" as the destination to save the file.

Can I set up recurring invoices?

Recurring invoices are on the roadmap. For now, you can duplicate an existing invoice manually by creating a new one with the same details.

Expenses

How do I add an expense?

Go to Expenses and click Add expense. Enter the vendor name, amount, and date, then save. Leave the category blank and Billvy's AI will assign one for you within a few seconds — or pick one yourself. Attaching a receipt image is coming soon.

What categories are available?

Office supplies, Travel, Mileage, Software, Meals, and Rent. Leave the category blank when adding an expense to have Billvy's AI assign one automatically, or change it anytime from the expense edit screen.

How do I link an expense to a project?

When adding or editing an expense, select the project from the Project dropdown. The expense amount will count toward that project's spend.

Projects & time tracking

How do I log time?

Go to Projects and click + Log time. Pick a project (optional), enter a description, hours, and an hourly rate if the time is billable, then save.

How do I bill logged hours to a client?

Any project with unbilled, billable hours shows a Bill button in the Projects table. Click it, choose which entries to include, and Billvy creates one new invoice for the total — the entries are then marked billed.

Can I edit or delete a billed time entry?

No — once an entry has been billed to an invoice it's locked, to keep your invoice history accurate. Unbilled entries can still be edited or deleted from the time entries table.

Reports

Which reports are available?

Billvy includes a Profit and loss report, Aged receivables, and a Tax summary — all exportable as CSV. Balance sheet and cash flow statements need bank connections, which are not available yet.

How do I export a report?

Open a report by clicking View report, then click Export in the modal. A CSV file will download automatically to your device.

Is the tax summary accurate?

The tax summary is an estimate based on your income and expenses for the year. It uses a simple percentage for illustration. It is not tax advice — always consult a qualified accountant for your actual tax obligations.

Ask Billvy

How do I use Ask Billvy?

Ask Billvy is included with Pro. On your Dashboard, click one of the suggested questions or type your own into the Ask Billvy box — things like "Which invoices are overdue?" or "What did I spend the most on this month?" It answers using your actual invoices, expenses, and clients.

What's the Billvy Brief?

A short summary at the top of your dashboard that flags what's changed since last month — an overdue balance, an expense category that jumped, or a margin worth a second look. It's computed from your real numbers every time you open the dashboard. The findings are on every plan, including free; the plain-English summary written on top of them is a Pro feature.

How do I know an answer is accurate?

Every answer shows either a checkmark (every number traces back to your real records) or a caution note (something in the answer couldn't be verified against your data). Billvy calculates every figure itself first — the AI only ever explains numbers that already exist.

What happens to my data when I use it?

A summary of your invoices, expenses, and clients is sent to Anthropic, our AI provider, only at the moment you ask a question or open your Brief — never automatically. See the Security page for the full detail.

Account

How do I change my name or email?

Go to Settings → Account and click Edit profile. Update your name or email and click Save.

How do I reset my password?

On the login page, click Forgot password? and enter your email. We'll send a link that lets you choose a new password — it expires after 60 minutes and works once.

How do I turn on two-factor authentication?

Go to Settings → Security and click Turn on next to two-factor authentication. Scan the setup key into an authenticator app (Google Authenticator, Authy, 1Password, etc.), save the backup codes shown, then enter the 6-digit code to confirm. Each backup code works once, for the times you don't have your authenticator app.

How do I export all my data?

Go to Settings → Security and click Export. A JSON file containing all your invoices, expenses, clients, and projects will download.

How do I cancel my subscription?

If you're on the free Starter plan, there's nothing to cancel. If you subscribed to Pro, email support and we'll cancel it for you — self-serve cancellation inside the app is coming soon. To close your account entirely, go to Settings → Security → Delete account.
